Welcome to Hanoi Jeep Tours Led By Women (“we,” “our,” or “us”). These Terms & Conditions govern your use of toursjeephanoi.com and your participation in our Jeep tours and related travel services. By accessing our website or booking a tour, you agree to be bound by these Terms & Conditions.

1. Booking Confirmation

Your booking is confirmed when:

  • We receive your booking request.
  • Payment or deposit (if applicable) has been received.
  • You receive a confirmation email or WhatsApp message from our team.

Please review your booking confirmation carefully and contact us immediately if any information is incorrect.

2. Tour Prices

All prices displayed on our website are quoted in the currency shown at the time of booking unless otherwise stated.

Tour prices include only the services listed under the “What’s Included” section of each tour.

We reserve the right to correct pricing errors or adjust prices before a booking is confirmed.

3. Payment

We accept secure payments using the payment methods available on our website.

Unless otherwise agreed, full payment must be completed before your tour begins.

All online payments are processed through trusted third-party payment providers.

4. Cancellation Policy

Our standard cancellation policy is:

  • More than 48 hours before the scheduled departure: Free cancellation with a full refund.
  • 48 hours or less before departure: 100% cancellation fee.
  • No-show: No refund.
  • Late arrival: Guests arriving more than one hour late without prior notice may be considered a no-show.

If we cancel a tour due to severe weather, road closures, government restrictions, or other circumstances beyond our control, you may choose either:

  • A full refund, or
  • Rescheduling to another available date.

5. Booking Changes

If you need to modify your booking, please contact us as early as possible.

Changes are subject to availability and cannot always be guaranteed, especially during weekends and peak travel seasons.

6. Hotel Pickup

Complimentary hotel pickup and drop-off are available for accommodations located within Hanoi Old Quarter unless otherwise stated.

If your accommodation is outside the pickup area, we will arrange a convenient meeting point before your tour.

7. Participant Responsibilities

For the safety and enjoyment of everyone, guests agree to:

  • Provide accurate booking information.
  • Arrive at the agreed pickup location on time.
  • Follow all instructions from our guides and drivers.
  • Respect local customs, traffic regulations, and fellow travelers.
  • Inform us in advance of any medical conditions, mobility limitations, pregnancy, food allergies, or dietary requirements that may affect participation.

Guests whose behavior places themselves, other guests, or our staff at risk may be asked to leave the tour without a refund.

8. Safety

Safety is our highest priority.

Our Vietnam Army Jeeps are regularly inspected and maintained, and all tours are operated by experienced, licensed drivers.

Participants must follow all safety instructions provided by our guides throughout the tour.

Failure to comply with safety instructions may result in the tour being terminated without compensation.

9. Weather Conditions

Our tours generally operate in all weather conditions.

If rain occurs, complimentary rain ponchos will be provided.

If severe weather or unsafe road conditions make it impossible to operate safely, we may postpone, reschedule, or cancel the tour.

10. Travel Insurance

Basic travel insurance is included where specified in the tour description.

We strongly recommend that all international travelers purchase comprehensive travel insurance covering:

  • Medical expenses
  • Trip cancellation
  • Personal belongings
  • Flight delays and interruptions

11. Personal Belongings

Guests are responsible for safeguarding their own personal belongings during the tour.

Hanoi Jeep Tours Led By Women is not responsible for lost, stolen, or damaged personal property except where required by applicable law.

12. Health Requirements

Guests should ensure they are physically able to participate in the selected tour.

Please notify us before booking if you have:

  • Serious medical conditions
  • Heart conditions
  • Pregnancy
  • Limited mobility
  • Food allergies
  • Dietary restrictions

We will make every reasonable effort to accommodate your needs whenever possible.

13. Photography & Media

Our guides may take photographs or videos during the tour for promotional purposes, including publication on our website and social media platforms.

If you do not wish to appear in photographs or videos, please inform your guide before the tour begins.

14. Intellectual Property

All content on toursjeephanoi.com, including text, images, graphics, logos, videos, and website design, is the property of Hanoi Jeep Tours Led By Women unless otherwise stated.

No content may be copied, reproduced, distributed, or used without prior written permission.

15. Website Use

By using our website, you agree not to:

  • Mechanical breakdowns beyond reasonable maintenance
